Terms & Conditions

  1. The evening hire is from 8pm to 12 midnight with last orders at 11.50pm time at 12pm. Other times are available upon request but our standard hire times are for 4 hours. 

  2. All guests must vacate the premises by 12.30am for an evening function. In the event of guests still being in the building after 12.30am, a charge of £8 per 15mins or part of will be charged to compensate for staff time.

  3. When booking an evening event, the security deposit (Already advised) will be required to confirm the booking and this will guarantee the hire of the venue. 

  4. The security deposit is required to indemnify the Club against any loss or damage to Club property and any extra cleaning that is needed. This refundable payment or any balance thereof, will be returned to the hirer no more than seven days after the event through a bank transfer or card refund  The  Club reserves the right to invoice the hirer in respect of any damage or loss with a value greater than the security deposit charged

  5. All payments should be paid via cash or card. Payment links can be sent for these payments.

  6. Should the function be cancelled by you the hirer, the following charges shall apply:

    1. Cancellations within one months of the event no refund will be given.

    2. At any other time, the security deposit will be lost. 

  7. Should there be extra cleaning required due to the soiling and damage of fixtures and fittings within the premises and grounds a percentage of,  or all of,  the damage liability payment will be retained.

  8. Buffets  We will discuss with you your buffet requirements. We may make a surcharge for vegans or celiacs due to the unique food we would need to cater for. We don’t offer substitutions but can put additions to an existing menu, prices available on request. We would discuss when you would like your buffet being put out. 

    Please note, to comply with Food Standards we remove all food from a buffet after 2 hours. We don’t allow for food to be taken home as consumption would be dangerous. Please remember, it has been left out for 2 hours in a warm environment.

  9. The Club House reserves the right to close or prohibit the use of any of the facilities at their discretion. Any monetary payments made by the Hirer in respect of a booking cancelled in regard of or in accordance with this condition will be refunded dependant on the circumstance of if the hirer or their guest are responsible or involved for closure. However, The Club House will not be liable for any other expenditure incurred or loss sustained directly or indirectly by the Hirer arising from the cancellation.

  10. The hirer is responsible for any disorderly or offensive behaviour within the Club or the club grounds before, during or after the function (and for any losses incurred). The Club House reserves the right to refuse admission or to evict any person from the premises.

  11. The hirer is responsible for all third party suppliers that they engage. They must liaise with them for prompt collection of any of their equipment. The Club House cannot be held responsible for any damage to third party equipment however caused. 

  12. Anyone found to be drinking under age, or buying alcohol for anyone under the age of 18 years of age, will be asked to leave the Club and the function may be stopped. Anyone bringing in 3rd party drinks will be asked to leave the Club.

  13. The maximum number of guests who may use the hall at any one time is 115. This is in line with fire regulations The applicant who has made the booking is responsible for ensuring that this number of persons is not exceeded at any time.

  14. Children are permitted to attend private functions but are required to remain in the Function Room unless accompanied by an adult and must be supervised by an adult at all times.

  15. The hirer is responsible for ensuring that no fire exits are obstructed at any time and that no fire regulations are breached arising from the function. The hirer must also familiarise themselves with the fire exits and any relevant equipment.

  16. No alcohol or soft drinks may be brought onto the Club premises. Only soft drinks and alcohol purchased from the Club bar may be consumed. This also applies to children’s parties.

  17. The Club House does not accept any liability for any guests or members losses, damage to or theft of any personal belongings whilst on the premises and grounds or any loss or damage to any vehicle or its contents parked in the car park. Guests are responsible for the safety of their belongings at all times.

  18. All entertainment is to be arranged and booked directly by the hirer and remains their responsibility at all times. If outside suppliers have been hired they will be required to show proof of appropriate, Public Liability Insurance and PAT certificates for any electrical items brought onto the premises. plus Hygiene Certificates if outside caterers are used. The Club House may refuse entry to service providers who are not otherwise permitted onto the premises.

  19. Any third party suppliers must remove their equipment by 12 noon the following day. Arrangements will be made to accommodate admission. If equipment isn’t removed by then, a charge will be levied against the Security Deposit of £25 per day or part of. 

  20.  Unfortunately we don’t allow third party catering or Djs. We are providing the whole package and want guests to be able to identify our brand and product. All our Djs have Public Liability Insurance and PAT tested; their names registered with our insurers.

  21. Dependant on times of other functions would be dependent on the time we would be able to allow you access to decorate the room. We can only guarantee an access time, 7 days before your event. Please do not confirm 3rd party decorators or plan for your own decorations until we have confirmed availability. All decorations MUST be removed by 12 noon the next day OR an alternative time as agreed with The Club House, dependant on functions the next day. Nothing can be placed on the plastered walls. This includes balloon arch supports, pictures, banners. This damages the paintwork and would result in a deduction from your security deposit..

  22. NO BUBBLE MACHINES, CONFETTI CANONS,  SMOKE MACHINES OR CONFETTI BALLOONS ARE ALLOWED ON THE PREMISES.

  23. No smoking or vaping is allowed within the Club. Failure to abide by this rule may lead to guests and members being asked to leave.

 

Indemnity

The hirer shall indemnify the Club against all claims, demands, actions or proceedings in respect of injury caused by or to any person which shall occur whilst the said person is on club property or arise from an accident whilst at the premises or in respect of any loss or damage suffered or sustained by a person.
